Choose project and automation tools without creating more admin
The useful question is whether work moves reliably from request to completion. Feature counts do not tell you that.

Separate tasks, knowledge and automation
A task board tracks work; a knowledge base explains how to do it; automation moves information between systems. Some products cover several jobs. monday.com describes tools for managing work and workflows. Our directory also includes Glide and Trainual as candidates for other operational needs. Check the specific product and plan instead of assuming all capabilities are bundled.
Test a real handoff
Use a small sample project with a request, an owner, a deadline, a review and a completed outcome. Have a second person take over halfway through. Can they see the next action and the relevant file without asking you? Count duplicate entry and notification noise. A board that only its creator understands has not passed the handoff test.
Make failure visible
For an automation, test a missing field, a duplicate input and a disconnected destination using harmless sample data. Check whether the tool reports the failure, who receives that report and how a retry avoids duplication. Define a manual fallback. A successful first run does not show how the workflow behaves when something changes.
Price the team you will actually have
Check paid seats, guest access, minimum seat bundles and limits on automation actions. A workflow triggered once may perform several billable operations; use the provider’s own unit definition. Estimate normal volume and a busy period separately. Include the time required to keep templates, permissions and integrations current.
Decision rule
Pick the smallest setup that gives every task a clear owner and an understandable next step. Expand after the team uses it consistently. Before migrating, export a sample and verify that essential history and attachments remain usable. Document who will maintain integrations when the original builder is away.
