Aircall vs Close
Phone layer or sales system of record?
We have not conducted hands-on tests of this pair. Product scope comes from the official sources below; the selection advice and suggested exercise are our editorial analysis. We currently have no confirmed affiliate link for either product in this comparison. Our method and funding.
THE SHORT ANSWER
Our conclusion
Choose Aircall if the CRM is already right and calling is the problem. Choose Close if you are also selecting a sales CRM and want calls tied to follow-up. Buying both should have a specific integration purpose, not duplicate the same job.
Side-by-side comparison
Read across each row: the same criterion, two approaches and the practical consequence. Capabilities describe the product offering, not a promise that every free or entry plan includes them.
| Criterion | Aircall | Close | What this means for you |
|---|---|---|---|
| Primary role | Business calling and customer communications | Sales CRM with built-in communication | These are not interchangeable in every stack. |
| Customer records | Communication layer alongside business systems | Sales records and follow-up in the CRM | Decide which system owns the relationship history. |
| Phone-led workflow | A phone system is the main purchase | Calling is part of the sales workspace | Keep an existing CRM if only telephony needs changing. |
| Team task | Handle customer conversations | Move sales opportunities through follow-up | Support calling and selling are different briefs. |
| Cost drivers | Phone setup, users, usage and remaining CRM | CRM users plus communication usage | Count subscriptions left outside either choice. |
Strengths and trade-offs
Aircall
Why choose it: A focused choice when the communications layer needs replacement.
Trade-off: A separate CRM may still be required.
Close
Why choose it: A combined choice when both sales records and calling need a home.
Trade-off: Replacing the sales system is a larger change than replacing phones.
Make the decision with your own evidence
Choose the two criteria below that matter most to your work. Run the same small task in both products and record a pass, a fail or an unresolved question. An untested requirement is unknown, not a pass. A failed must-have outweighs optional extras.
| Criterion to test | What to record for each product |
|---|---|
| Primary role | These are not interchangeable in every stack. Record the exact plan, observed result and any workaround. |
| Customer records | Decide which system owns the relationship history. Record the exact plan, observed result and any workaround. |
| Phone-led workflow | Keep an existing CRM if only telephony needs changing. Record the exact plan, observed result and any workaround. |
| Team task | Support calling and selling are different briefs. Record the exact plan, observed result and any workaround. |
| Cost drivers | Count subscriptions left outside either choice. Record the exact plan, observed result and any workaround. |

If both products pass
Compare the total cost for the same workload, then the effort to move your files and train the next user. Keep a working setup when neither alternative solves a concrete problem. If neither passes, return to the software finder with the missing requirement.
Before purchasing in Europe
Check availability in your country, invoice currency and applicable VAT, renewal and cancellation terms, supported languages and support hours. For uploaded business data, review the provider's processing terms and export/deletion options. These are checks to make, not a claim that either provider meets every requirement.

Why this conclusion?
Aircall and Close are not direct substitutes for every team. Evaluate Aircall when improving a calling setup around an existing system; evaluate Close when the team is also deciding where to manage sales records and follow-up.
A useful trial exercise
Map an incoming enquiry from phone answer to assigned owner, notes and next action. Then simulate an outbound follow-up. Write down which application owns each record. Assess the hand-off rather than merely whether a call can be placed.
Record completion time, manual corrections and unresolved requirements in the evaluation worksheet. This is a suggested exercise for you to run, not a report of tests we performed.
Three questions to resolve
- Where does the durable customer record live?
- Can missed calls become assigned follow-up work?
- Are required numbers and calling destinations supported?
Compare the full cost
Include CRM subscriptions that remain necessary, phone numbers, minutes and integrations. Request a quote using your own expected destinations and volumes.
Use the same workload and billing period in our software cost calculator. Obtain current plan details, currency, applicable taxes and cancellation terms before committing.
When to pause the purchase
Do not purchase both systems for overlapping work without identifying what each one uniquely owns.
